How Should You Handle Customer Complaints?
Listen to the whole complaint before responding, even if you can predict where it's going - cutting in early to offer a fix often reads as not having actually heard the problem.
Acknowledge specifically what went wrong rather than giving a generic apology; "that's twice this order has come out wrong" lands better than "sorry for the inconvenience."
Only commit to what you can actually deliver.
Over-promising to end an uncomfortable conversation creates a second complaint down the line when it doesn't happen.
Close the loop once the fix is done - a short follow-up shows the complaint was taken seriously rather than just processed.
