How to Handle a Customer Who Is Unhappy?

Let them finish before you respond as interrupting to explain or defend, even with good intentions, reads as dismissive and tends to make someone more frustrated, not less.

Once they've said their piece, reflect the issue back in your own words so they know it landed.

Lead with what you can do, not what you can't.

"Here's what I can offer" moves the conversation forward; "I'm not able to" tends to stall it, even when the underlying answer is similar.

Not every unhappy customer needs an apology for something that was your fault - acknowledging their experience is often enough on its own.
